Position: Sr. Administrative Assistant
Reports to: Chief Operating Officer
Position Overview
This position works under general supervision in providing administrative support to the Chief Operating Officer encompassing the areas of Strategic Planning, Human Resources, Finance, Office Management, Volunteer Coordination, and Building Planning. Relies on professionalism, experience, and sound judgment to plan and accomplish assigned tasks and goals. Duties and responsibilities are varied and reflect substantial variety and complexity that may be of a confidential nature.
Major Duties
- Provides advanced word processing support including reports, manuals, correspondences and agendas
- Manages advanced office functions including presentation creation, maintaining data files, managing and formatting excel spreadsheets, and organizing work flow through the office
- Maintains all contracts and agreements
- Manages and maintains calendar and appointment schedule, coordinates travel arrangements
- Provides telephone support including screening and routing calls and answering inquiries
- Interacts and collaborates with other office staff in managing day-to-day work and or key initiatives
- Manages day-to-day office administration, including but not limited to office supply inventory, equipment maintenance, mail distribution and processing of administration invoices.
- Manage the volunteer program, including communication, profiles, skill set assessment, orientation and training.
- Responsible for organizational merchandise, including order fulfillment, inventory and replenishment.
- Administers the Records Retention Program
- Executive Assistant backup (when required)
- Accounts Payable back-up (when required)
Time Commitment: 40 hours, some evenings and weekends
Qualifications:
- 3-5 years administrative experience
- Associates degree or equivalent preferred
- Proficiency in MS Office Suite (Word, Excel, Powerpoint)
- Excellent written and verbal communications skills
- Ability to prioritize and handle multiple deadlines in a fast paced environment
- Attention to detail
- Understanding or knowledge of organizational policies and procedures
- Consistent positive attitude
- Professionalism in handling confidential materials and matters
